When Should You Choose a Professional Printing Service

With today's user friendly desktop publishing software packages and reasonably priced color printers, it is certainly possible for a small or mid-size business to handle all of its printing needs in-house. But this is not always the best alternative; there are situations where using a professional printing service can help you create a higher quality end product, and perhaps, save money.
How can outsourcing a printing project save money? Simply by factoring in the value of your, or your staff members', time. There is time spent learning the software you purchase to handle the design/layout of the project. Some of this software is fairly complex and requires a significant learning curve in order to become proficient. That's even before you factor in the time spent on the actual project itself. You need to consider whether this is the best use of your time versus working on the other challenges the business faces.
Tip: Never be reluctant to get 2 or more bids on complex printing projects. Although this is a competitive business, prices can vary significantly from one printer to another.
The larger issue is the quality of the output. Professional printing services often employ a design expert, someone who knows how to set up the layout of a presentation, a brochure, or whatever project you may be working on. Their creativity and design experience can be of great value to you. Not all of us are blessed with the kind of creativity that produces documents that are really outstanding. The design consultant at the professional printer will be able to come up with ideas you haven't thought of to improve the look or your project, and make sure it meets your goals, whether you are trying to create a presentation that will "wow" a potential new client, or make sure all the sales materials you have work well together and create a consistent message about your company to potential customers.
Tip: Before you meet with the printer, write down the goals for that particular project, and particularly think about what image you want to create for your company through the use of the printed materials. How will you be using the project to further your company's objectives?
The professional printing service will most likely have a wider variety of printing equipment than you have, or need to have, in the day-to-day activities of your company. Perhaps you need to have a large-size document created, such as a blueprint or a large poster. This can require specialized equipment. It doesn't make economic sense for you to acquire all this equipment unless you are going to be utilizing it on a frequent basis.
One important issue to consider is document security. If you are printing copies of your confidential Business Plan, for example, you may be reluctant to just drop it off at a printer and leave it there overnight. Suppose, for example, there are problems with some of the copies and the printer has to throw those out. You might prefer these are shredded rather than just put in the trash.
One alternative is to print the body of the document in-house, and then have the printer do specialized tasks such as printing an embossed cover, for example.
Having a relationship with a printer can be helpful for your business. You might encounter situations where you have an extremely tight deadline and could benefit from having a printer that is sensitive to your needs and puts your project in the top of the queue. You should cultivate that relationship ahead of time; perhaps give the printer some routine jobs and evaluate the quality of their work and their turnaround time, so when that critical printing job comes around, you will have someone you can rely on.
